Overview

Stack and technologies
SMTP transport runs on Exim, mailbox access on Dovecot, with Maildir storage and virtual accounts on file or database depending on scale. Anti-spam is Rspamd in most cases - outbound DKIM signing, inbound verification, greylisting and scores tuned to real traffic - with SpamAssassin where it’s already in use. Domain authentication runs on SPF, DKIM and DMARC, with DMARC reports collected and interpreted to find out who’s sending in your name. TLS with Let’s Encrypt certificates encrypts every connection, and for browser access we integrate Roundcube. Servers run on Debian and Ubuntu - on request AlmaLinux, Rocky Linux or other distributions - hosted on Google Cloud as the first choice, on AWS or DigitalOcean as an alternative, or on your current provider. If running your own server doesn’t make sense, we set up managed solutions with the same care over DNS records.
A real-world example
A technical firm contacted us because the quotes they sent by email were going unanswered: many clients, almost all on Microsoft 365, couldn’t even find them in the spam folder. The audit found an SPF record broken by a newsletter service added years earlier, no DKIM signature, and the server’s IP listed on a minor blacklist. We fixed and aligned SPF, turned on DKIM signing in Exim, published a DMARC policy in monitoring mode and requested delisting, then verified delivery with test mailboxes at the major providers. Over the following weeks the DMARC reports confirmed that legitimate sends were aligned and surfaced an abusive sender, which we blocked by tightening the policy. How we work
The first step is an audit of DNS, mailboxes and reputation, which produces a readable picture: what’s broken, what’s at risk and what it costs to fix. Then we decide together between a dedicated server and a managed solution, without steering you toward whichever is more convenient for us. We configure things, fix deliverability and verify it with delivery tests against real providers, not just online validators. Migrations follow an agreed window: sync first, MX records after, rollback always ready. We cover Monday to Friday, 10:00-18:00: blocked mail is a P1, picked up within one business hour as described on the response times page. For ongoing management, hour packages never expire.
Frequently asked questions
Why do our emails end up in spam?
Almost always the SPF, DKIM and DMARC records are missing or misconfigured, or the sending IP has a poor reputation. We review the DNS, fix authentication and alignment, check blacklists and reputation, and test delivery to the major providers until your mail lands in the inbox.
Can you migrate our mailboxes without losing email?
Yes. We inventory the mailboxes, sync the mail over IMAP keeping folders and messages intact, keep the old server live during the transition and move the MX records only once the migration is verified. The risk of loss stays minimal and the archive arrives intact.
Should we run our own mail server or use a managed solution?
It depends. A dedicated server gives full control over mailboxes, domains and rules, but it needs ongoing maintenance and reputation care. If you’d rather delegate, we set up reliable managed solutions with the same attention to DNS records. We tell you honestly which one fits your case, without pushing a choice on you.
Can you handle multiple domains and aliases on one server?
Yes. We configure multiple domains, mailboxes, aliases, forwards and quotas on the same Exim/Dovecot setup, with TLS for encrypted connections and solid authentication. We leave you the documentation to create and manage mailboxes on your own, without going through us for every change.
How much does it cost to set up or manage a mail server?
We bill at a flat €75/hour. For ongoing management there are prepaid hour packages with no expiry: 5 hours at €350, 10 at €660, 20 at €1,200. Quotes are always free, with a reply within one business day.
What happens if mail stops working?
If mail is completely down - the server neither sends nor receives - it is a P1: we pick it up within one business hour, Monday to Friday between 10:00 and 18:00. Reputation or delivery problems, such as the IP ending up on a blacklist or emails landing in spam, are a different matter: they need investigating and fixing, but delisting depends on the providers and is not a one-hour emergency - we treat those as P2. Outside those hours we guarantee intervention only for P1 emergencies of clients with an active on-call plan.
Do you also work at night or on weekends?
Guaranteed only for clients with an active on-call plan, and only for real P1 emergencies: production down, data loss, active security incident. On-call is a monthly retainer with limited seats, available on systems we manage and, after a case-by-case assessment, on others too: prices and rules are on the On-call page. Without a plan, coverage is Mon-Fri 10:00-18:00 and out-of-hours work is best effort: it may happen, but it is neither guaranteed nor something you can demand. Night or holiday work planned at least 20 days ahead remains available to everyone, at the surcharged rate.
